1. General Information
These Terms and Conditions apply to all services provided by Essence Wellness (referred to as “we,” “our,” or “us”) to clients (referred to as “you” or “your”). By booking and attending an appointment with us, you agree to be bound by these Terms and Conditions. We reserve the right to modify these Terms and Conditions at any time. Any changes will be posted on our website, and by continuing to use our services, you accept the updated terms.
2. Booking and Confirmation
Booking Process: Appointments must be booked through our online booking system, by phone, or in person. Once you have booked your appointment, we will send a confirmation to your provided contact details.
Booking Confirmation: To confirm your booking, you must acknowledge or complete your booking within 48 hours of booking. If confirmation is not received within this period, the booking will be automatically cancelled.
Payment for Services: Payment for certain services will be taken in full at the time of booking. These services will be clearly indicated at the time of booking. We accept payment via credit card, debit card, and other secure payment methods.
Card Information: For some services, we will collect your card information to secure your booking. By providing your card details, you consent to us securely storing your payment information for the purpose of confirming your booking. Your card will only be charged for services rendered or in the case of a cancellation as outlined below.
3. Cancellation Policy
Late Cancellations / Reschedules: If you need to cancel or reschedule your appointment, we kindly ask for at least 24 hours’ notice. If you cancel or reschedule less than 24 hours before your appointment, a £30 late cancellation/reschedule fee will apply.
No-Shows: If you fail to attend your appointment without providing any notice or reason, you will incur a £50 no-show fee. This fee is to cover the time and resources reserved for your appointment.
Cancellation by Essence Wellness: In the event we need to cancel or reschedule your appointment due to unforeseen circumstances, we will notify you as soon as possible. You will not be charged for any appointment we cancel. You may be given the opportunity to reschedule your appointment at a time that is convenient for you.
4. Late Arrivals
Late Arrival: If you arrive late to your appointment, we may need to shorten your treatment time in order to accommodate the next client. Please arrive on time to avoid this. If you are more than 15 minutes late, your appointment may be considered a “no-show,” and the applicable no-show fee may be charged.
5. Refunds and Exchanges
Refunds: Refunds are not offered once payment is made, except in cases where the service cannot be provided due to unavoidable circumstances, such as equipment failure or practitioner unavailability. In such cases, we will offer a rescheduled appointment or a refund as an alternative.
Exchanges: Products purchased at Essence Wellness can only be exchanged or refunded if they are unopened, unused, and returned within 14 days of purchase. This is in line with our commitment to hygiene and safety.
6. Health & Safety
Medical Information: You must inform us of any medical conditions, allergies, or other health-related concerns that may affect your treatment. This includes but is not limited to pregnancy, skin conditions, or any other health issues that may interfere with our treatments.
Waiver of Liability: By attending your appointment, you consent to receiving the treatments and services we offer. You waive any claims against Essence Wellness for injury, damage, or loss arising from your treatment, except where such injury, damage, or loss is caused by our negligence.
7. Privacy & Data Protection
We take your privacy seriously and comply with all applicable data protection laws. Any personal data you provide us, such as your contact details and payment information, will be used solely for the purpose of providing our services. We will not share your information with third parties unless required by law.

8. Liability
Essence Wellness will not be held liable for any loss or damage arising from the use of our services, except in cases of proven negligence. We do not accept responsibility for any personal items left in the premises or any harm resulting from pre-existing medical conditions.
9. Client Conduct
We ask all clients to be respectful to our staff and other clients during their visit to Essence Wellness. We have a zero-tolerance policy for inappropriate behavior, including harassment, abuse, or disruption. Essence Wellness reserves the right to refuse service to anyone behaving inappropriately.
